How can I participate as a vendor?

- fill out the vendor application (application submission does not guarantee registration)

- provide your hi-res logos, website and social media links for inclusion on all major Cheviot Market posts and announcements (if application submission and fee payment are accepted)

- contribute promotional items to the Cheviot Market "Grab Bag Giveaway" (not required but encouraged)

- consent to participate in the "Digital Coupon" promotion (not required but encouraged)

What is the "Grab Bag Giveaway"?

This is a promotion to encourage patron attendance while introducing them to your products/services. Giveaways can be simple: samples, promo cards, stickers, coupons, etc. There is no minimum quantity to contribute to this promotion. All vendors that participate in this will get specific mentions, spotlighting their contributions and participation.

What is the "Digital Coupon" promotion?

This is a promotion to encourage patron follow up. The intention is to encourage patrons to further research and purchase your goods/services, after the market. The digital coupon would be emailed and shared to patrons that have attended the market. The design of the coupon would be provided by Cheviot Market and approved by you before posting. It would be clearly stated in this promotion that the coupons are only valid for the month following the market. If a vendor chooses to honor the coupon beyond that time frame, that is their decision and right.

What is the booth fee and what is included?

Upon registration approval, payment of an $80 registration fee will reserve your 10 ft x 10 ft space within Cheviot Market. Your registration fee will go towards expenses incurred to host, coordinate, operate and promote Cheviot Market and it's vendors, including but not limited to: City of Cheviot permits, online advertising, print promotions, staffing and more. Vendor parking will be reserved in designated lots and allocated on a first come first served basis.

What are the expected attendance numbers and demographics?

Based on similar events in the area, Cheviot Market hopes to attract hundreds of patrons, reaching thousands of possible patrons, online and in person. We hope to not only attract local residents but encourage other Greater Cincinnati residents to visit and participate in the rich culture of Cheviot and its surrounding neighborhoods. All ages, races and social demographics are welcome.

How is the market marketed/advertised?

Cheviot Market will be promoted on major social media platforms, utilizing specific ad campaigns to greater extend promotion reach. Coordinated efforts with local businesses will help promote online and onsite of their businesses. In addition, local media outlets will be contacted to announce and bring notice.

Are there restrictions on products or competitive vendors?

Negative, offensive or derogatory products or vendors will not be allowed to participate in Cheviot Market. Third party vendors or direct sales companies are prohibited from participating.

Do I need a license or insurance?

Cheviot Market requires all vendors to provide the necessary licenses and insurance to operate their business. Proof of these will be required upon application to Cheviot Market. Each vendor is responsible for their own liability, should be knowledgeable about their responsibility and be prepared to share documentation.

What happens when my market application is approved?

Cheviot Market will charge your provided credit card the full registration fee of $80. Your vendor logo, website and social links will be listed on the Cheviot Market Vendor Listing along with a spotlighted post on Cheviot Market socials.

What to do after market registration and fee payment are accepted?

Promote!

- post on your (business and personal) social media and/or website

- send out a blast to your email list

- create a Facebook invite and invite Cheviot Market to be a co-host so that your invite appears on the Cheviot Market Events Page

- prepare your products and display for market day

Is there vendor parking?

Cheviot Market will reserve and regulate parking in nearby lots. Spaces will be limited so allocation will be on a first come first served basis. Upon arrival to the designated parking lots, vendors will be required to show their market acceptance confirmation email to Cheviot Market staff, regulating the lot. One space per vendor will be allocated unless previous accommodations have been approved in writing, prior to market day. Cheviot Market will not be liable for any damage or theft related to vehicles parked in these regulated lots. When all reserved spaces are filled, vendors will be responsible for locating additional parking. Vendors will be directed to reserved parking upon load in arrival.

What are food truck/trailer parking details ?

Food trucks parked on Harrison Ave. (in front of Pioneer Park) will NOT have to pay the meters. Food trailers will need to be dropped and towing vehicle should be parked at another location. Parking at meters not designated for food trucks/trailers will require payment through the app: proximityparking.com

Will food vendors be inspected by Hamilton County Board of Health?

Yes, all food vendors are subject to inspection by Hamilton County Board of Health. Before the market starts at 10am, a representative from Hamilton County will inspect each food vendor to make sure they are in compliance to sell. Please have all food license paperwork on hand to show the inspector. If the inspector finds you not in compliance, you will not be able to participate in Cheviot Market, that day. Your registration fee for that specific market will not be refunded.

What is the setup/load-in and breakdown/load-out process?

Arrival

Staff will be onsite around 7:00am. You can begin to arrive any time after 7:00am. When you arrive at the market location, please enter through the Harrison Avenue entrance. Staff will be near the Harrison Avenue entrance to check you in and direct you. Please arrive no later than 9:30am so that all vehicles can be clear and we can be ready to welcome patrons promptly at 10:00am. Any vendors arriving after 9:30am run the risk of not being able to participate in the market.

Load In

After you check in with staff, promptly unload your vehicle. Do not begin setting up until you've parked in the designated area.

Parking

After unloading your vehicle, everyone should be able to park towards the south end of the parking lot, towards First Financial Bank/Kessen Ave. If we run out of space, additional parking can be found at Cheviot City Hall: 3814 Harrison Ave. Cheviot, OH 45211 If you do park at City Hall, please DO NOT park in police parking spots or the designated spots labeled with employee names. If you do, YOU WILL BE TOWED!

Load Out

Please do not begin packing up or loading out until the market is officially finished at 3:00pm unless you have made a special request and have approval in writing. The City has given us a short period of time after the market conclusion to continue using the parking lot, so please expedite departure. After your vehicle is loaded, please exit the parking lot through the Kessen Avenue exit.

What should I bring for market day?

- 10 ft x 10 ft pop up tent (not larger)

- 10 ft table or smaller

- 10ft banner or smaller to hang in your tent

- any other fixtures needed for display

- appropriate signage for your items: business cards, QR codes, display info, etc.

- WIFI hotspot for taking credit card transactions

- appropriate hardware and software for credit card transactions

- change for cash transactions

- camera to take photos of your display so you can promote on socials

- cart or dolly to transport your items during load in/load out

What should I avoid bringing to the market?

- banners or signage that will obstruct another vendors

- generators (food trucks/trailers are the only vendors that can use a generator)

- hazardous chemicals or gases (if you're not sure, please contact us for advisement)

- loud speakers or music that can make communication difficult for vendors and patrons

- any items or clothing displaying profanity or objectionable material

- weapons

What should I do after market day?

- post on your socials (with text and photos) about your experience at Cheviot Market

- leave a review of Cheviot Market on our Google Business page (link found under the More link)

- prepare to honor the "Digital Coupon" (if you are participating in this promotion)

- submit to attend the next market!

What kind of security will be on hand?

Cheviot Market will coordinate with the City of Cheviot to address any safety concerns. The current protocol is to have multiple Cheviot Market staff on-site and two Cheviot Police Officers on patrol, nearby. If there are any safety developments, Cheviot Market will announce to vendors as soon as possible. If there are any safety concerns during market day, please contact a Cheviot Market staff member, immediately.

Can the market be cancelled?

Projected cancellations will be announced within at least 12 hours of the market’s projected start time. In extreme circumstances, cancellation will be announced closer to market time. Markets will only cancel due to unforeseen circumstances not within Cheviot Market control, e.g. weather, natural disaster, construction, etc.

All vendor registration fees will be forfeited upon cancellation.

Can a vendor be removed?

Cheviot Market reserves the right to remove any vendors from participating if they have broken state or federal laws or have behaved in a manner not suitable to the mission and purpose of Cheviot Market. If removed, the offending vendor will not be allowed to participate in any future markets, relinquishing their registration fee.
